Executive Assistant

Job Type: Full-Time  

Compensation: $18 to $22 an hour

Our growing and well-respected Certified Public Accounting Firm is looking for a new Executive Assistant to support our executive team. You will manage mostly business-related tasks for the team such as creating reports, organizing partners schedules and calendars, answering phones, screening visitors, preparing reports, filing and organizing documents, perform basic bookkeeping tasks and other organizational tasks. To do this role properly, you should have a detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems and have experience as an executive or administration assistant in the past. 

Responsibilities:
  • Managing partners meeting schedules and calendars 
  • Preparing reports needed by partners in advance of client meetings
  • Answering phones and routing calls to the correct person or taking messages
  • Greeting visitors and deciding if they should be able to meet with executives
  • Filing and retrieving corporate records, documents and reports
  • Helping prepare for meetings and if needed, accurately record minutes from meetings
  • Researching and conducting data to prepare documents for review and presentation by partners and managers
  • Preparing reports, memos, invoices, letters and other documents
  • Reading and analyzing incoming memos, submissions and distributing them as needed
  • Making travel arrangements and accommodations for partners and managers as deemed necessary
  • Performing office duties that include ordering supplies and managing a records database
  • Opening, sorting and distributing incoming faxes, emails and other correspondence
  • Handling basic bookkeeping tasks
  • Using various software, including word processing, spreadsheets, databases, and presentation software
  • Provide general and administrative support

Skills/Qualifications:
  • Proven experience as an executive assistant or other relevant administrative support experience
  • In-depth understanding of entire MS Office suite
  • High school diploma
  • Ability to organize a daily workload by priorities
  • Must be able to meet deadlines in a fast-paced quick changing environment
  • A proactive approach to problem-solving with strong decision-making skills
  • Professional level verbal and written communication skills
  • Resourceful and client-oriented
  • Acceptance and execution of job responsibilities within a team environment
  • Ability to work overtime as required, Jan 15-Apr 15 and Sep 1-Oct 15

Compensation:
  • Negotiable depending on experience
